This policy explains how Linktura Outreach Sdn. Bhd. (“Linktura”, “we”, “us”) handles personal data when you visit linktura.pro, contact us, or engage our services. We process personal data in accordance with the Personal Data Protection Act 2010 (Malaysia) and, where applicable to our clients’ prospects in the European Union, the principles of the GDPR.

1. Data we collect from visitors

When you use this website we may collect:

• Contact form data — your name, work email address, company name and the message you write to us. You provide this voluntarily so we can respond.
• Technical data — IP address, browser type, device category and pages viewed, collected through server logs and (only with your consent) analytics cookies.

2. Why we process it

We use visitor data to answer your enquiries, prepare proposals you request, improve the website, and maintain security of our systems. We do not sell personal data, and we do not add website visitors to any marketing list without an explicit request from you.

3. Data processed in our client work

Our services involve processing business contact data (names, job titles, business email addresses, company details) of our clients’ prospective customers. In that context we act on our clients’ instructions, limit processing to legitimate B2B outreach, verify data accuracy before use, and maintain permanent suppression lists so that opt-out requests are honoured across all campaigns we manage.

4. Legal bases

We rely on consent (for analytics cookies and newsletter subscriptions), contract performance (when you engage our services), and legitimate interest (responding to enquiries, protecting our systems, and conducting proportionate B2B outreach on behalf of clients).

5. Retention

Enquiry correspondence is kept for up to 24 months after our last exchange. Client project records are kept for 7 years to meet Malaysian tax and company law obligations. Server logs rotate within 90 days. Suppression list entries are kept indefinitely, because deleting them would risk contacting someone who opted out.

6. Sharing and transfers

We share data only with service providers necessary to run our business — hosting, email, CRM and analytics vendors — each bound by contractual confidentiality. Some providers store data outside Malaysia; where they do, we choose vendors offering recognised safeguards. We never disclose data to third parties for their own marketing.

7. Security

Access to personal data is limited to team members who need it, protected by unique credentials and two-factor authentication. Data in transit to this website is encrypted with TLS.

8. Your rights

You may request access to, correction of, or deletion of your personal data, withdraw consent, or object to processing by writing to [email protected]. We respond within 21 days. If you believe we have mishandled your data, you may complain to the Personal Data Protection Department of Malaysia.
